Client OTP Verification at Onboarding

Confirm a lead's phone number and email are real and reachable with an SMS or email one-time passcode, before staff time, document requests, and a case file are built around a wrong number or a fake inquiry.

What It Is

What does client OTP verification actually confirm?

Visa consultancies onboard leads from a mix of sources — WhatsApp messages, phone calls, website forms, walk-ins, referrals passed along secondhand — and not every inquiry that arrives is what it appears to be. A phone number can have a typo in it. A web form can be filled out by someone testing it, or by a bot, or by a genuinely curious visitor with no real intention of proceeding. A referral can arrive with contact details nobody has actually confirmed. Client OTP verification exists to close that gap at the one moment it matters most: the point where a lead is about to convert into an active case, with a case file opened, a document checklist sent, and a counsellor's time committed to it. VisaBOS can send a one-time passcode — by SMS, by email, or both — to the phone number and email address a lead submitted, and require it to be entered back before onboarding proceeds. This is a genuinely different check from two-factor authentication for staff logins, even though both use a one-time passcode, and it's worth being precise about the difference rather than treating the two as interchangeable. Two-factor authentication verifies a staff member — a counsellor or admin — at the moment they log in to VisaBOS, confirming the person behind the password is genuinely who they claim to be. Client OTP verification verifies the other party in the relationship entirely: the prospective student or visa applicant being onboarded, at the moment their inquiry is turning into a case a consultancy is about to invest real staff time into. One protects a login; the other protects the hours a counsellor is about to spend on someone who may or may not be a genuine, reachable prospect.

Sound Familiar?

What happens when nobody confirms a lead is real first?

Case files opened around wrong numbers, prank inquiries treated like genuine prospects, and no consistent checkpoint before staff time gets committed.

📵

A Case File Built Around a Number Nobody Answers

A lead comes in through a website form or a hurried WhatsApp message with a phone number that has a typo in it, or an email mistyped by one character — and nobody notices until a counsellor has already opened a case and tried to follow up with no response.

🎭

Fake and Prank Inquiries Eat Into Counsellor Time

Not every inquiry that lands in the pipeline is genuine. A curious visitor filling out a form with made-up details, a prank submission, or a lead passed along secondhand with unconfirmed contact details — each can look identical to a real prospective client until a counsellor has already spent time on it.

No Consistent Checkpoint Before Staff Time Gets Committed

Without a defined step at which a lead's contact details are confirmed as real, whether that check happens at all comes down to whether an individual counsellor happens to think to call and confirm before diving into document collection — which means it happens inconsistently, and sometimes not at all when the pipeline is busy.

Feature Deep Dive

What makes client verification workable at onboarding scale?

Six capabilities that confirm a lead is real and reachable, without turning onboarding into an obstacle course for genuine prospects.

📲

SMS and Email OTP at the Point a Lead Becomes a Case

A checkpoint before staff time is committed

  • A one-time passcode is sent to the phone number and/or email address the lead submitted
  • The client enters the code back into the onboarding step to confirm
  • Delivered by SMS, by email, or both, depending on how the consultancy configures it
  • Confirms the contact details are real and reachable before document collection begins
🎚️

Configurable Trigger Point, Not a Rigid One-Size Rule

Verify where it actually matters in your workflow

  • An admin decides at what stage verification is required — before a case file opens, before document requests go out, or both
  • Different lead sources can be treated differently if the consultancy wants that flexibility
  • Verification does not need to happen at first contact — it can sit at the moment a lead is about to convert into active case work
  • Adjustable any time the consultancy's onboarding process changes
📡

Delivered Through Your Own Connected Channels

Same connected-gateway approach as elsewhere in VisaBOS

  • SMS OTPs route through the SMS gateway your consultancy has already connected
  • Email OTPs go out through your connected email sending setup
  • VisaBOS generates and checks the passcode; delivery runs through your own provider connections
  • No separate messaging vendor to onboard specifically for this feature

Verification Status Visible on the Lead Record

Know at a glance which leads are confirmed

  • Each lead shows whether its phone and email were OTP-verified, not just submitted
  • Counsellors and admins can see verification status before deciding how much time to invest
  • Unverified leads remain visible in the pipeline rather than disappearing — the status is informational
  • Helps separate genuine prospective clients from unconfirmed or unreachable submissions at a glance
🧭

Client Identity Verification, Not Staff Login Security

Distinct from — and complementary to — two-factor authentication

  • This feature verifies the prospective client being onboarded, not the staff member logging in
  • It runs at the point a lead is converting into a case, not at every VisaBOS login
  • VisaBOS's two-factor authentication feature separately verifies staff at login, using OTP delivered to the staff member
  • A consultancy can run both: verified staff logins, and verified client identity at onboarding

Low-Friction for Genuine Clients

A minute of a real prospect's time, not a barrier

  • No app installation or separate client account is required to complete verification
  • The passcode goes to a channel — phone or email — the client already checks
  • Designed to be quick enough that a genuinely interested prospect barely notices the step
  • The friction it adds falls mainly on inquiries that were never going to convert anyway

Client OTP verification confirms who the client is, at onboarding, before staff time is committed. It is not the same check as our two-factor authentication feature, which verifies staff at login — and it pairs naturally with our duplicate lead detection feature, since a verified lead is also a good candidate to check against existing records before a second case gets opened for the same person.

Getting Started

How fast can you add a verification checkpoint?

Most consultancies can enable client OTP verification and set the trigger point in one sitting — no separate app for clients, no new vendor relationship to build from scratch.

01

Turn On Client OTP Verification

An admin enables client OTP verification for the consultancy from within VisaBOS, and connects the SMS gateway and/or email sending setup that will deliver the codes.

02

Choose Where Verification Sits in Onboarding

Decide whether verification is required before a case file opens, before document requests go out, or at another point in the lead-to-case workflow that fits how your team actually works.

03

Review Verification Status Before Staff Time Goes In

Counsellors and admins see verification status on each lead record, and can decide how to treat leads that haven't completed it — before document collection and case work begin.

Frequently Asked Questions

Common questions from consultancy owners about client OTP verification, how it differs from staff login security, and how delivery actually works.

What does client OTP verification actually do?+
It sends a one-time passcode — by SMS, by email, or both — to the phone number and email address a prospective client submitted, and asks them to enter it back before their inquiry moves forward into an active case. The point is not to make onboarding harder — it's to confirm, at the moment it matters most, that the contact details a lead came in with are real and reachable, rather than discovering that fact days later when a counsellor's calls go unanswered. A lead that completes OTP verification has proven, in a small but concrete way, that there is a real person on the other end of that phone number and inbox.
Is this the same as VisaBOS two-factor authentication for staff logins?+
No. The two features sound similar but solve different problems for different people. VisaBOS's two-factor authentication login security feature is about staff — it verifies that the counsellor or admin typing a password into VisaBOS is genuinely who they claim to be, at the moment they log in. Client OTP verification is about the other side of the relationship: it verifies the prospective student or visa applicant being onboarded as a new lead, at the moment their inquiry is about to become an active case with staff time and document requests behind it. One is a login security control for your team; the other is an identity and reachability check on the people your team is about to work for. A consultancy can — and generally should — use both, since they protect against different failure modes at different points in the workflow.
Why would a visa consultancy need to verify a client before onboarding, not just when they sign a contract?+
Because a lot of unproductive work happens well before any contract is signed. Leads arrive through WhatsApp, phone calls, website forms, and referrals, and not every one of them is what it looks like — a typo in a phone number, a fake inquiry submitted out of curiosity or by a bot, a referral passed along secondhand with the wrong contact details attached. If a counsellor starts building a case file and scheduling follow-ups around a lead before anyone has confirmed the phone number or email is genuinely reachable, that effort can turn out to be wasted the first time the counsellor tries to reach the person and gets silence. Verifying identity at the point a lead is about to convert into a case — before document collection begins, not after — keeps that wasted effort from happening in the first place.
Does the client need to install anything to complete OTP verification?+
No. The OTP is delivered to a channel the client already has and already uses — their phone via SMS, their inbox via email, or both — and they simply enter the code back into the onboarding step to confirm it. There is no app to install, no account to create beyond what onboarding already requires, and no separate login for the client to manage. The goal is a verification step that a genuine prospective client can complete in under a minute, not a barrier that discourages real inquiries from converting.
Where does the OTP actually get sent from — does VisaBOS operate the SMS or email delivery itself?+
VisaBOS does not operate telecom infrastructure or act as an email service provider itself. SMS OTPs route through the SMS gateway your consultancy has already connected — the same kind of registered gateway connection used elsewhere in VisaBOS for transactional SMS notifications — and email OTPs go out through your connected email sending setup. VisaBOS generates the passcode and checks what the client enters against it, but the underlying delivery, and any delivery-status reporting, comes from the provider your consultancy has already set up.
What happens if a lead never completes OTP verification?+
The lead record stays visible, but its verification status reflects that the phone and email were never confirmed as reachable — visible to a counsellor or admin at a glance rather than assumed. A consultancy decides for itself how strictly to treat an unverified lead: some may hold document requests and case-file creation until verification completes, while others simply want the visibility so staff know to double-check contact details manually before investing time. VisaBOS surfaces the status either way; how much weight to put on it is a decision each consultancy makes for its own workflow.
Is client OTP verification included in every VisaBOS plan?+
Yes — client OTP verification, along with configurable trigger points and verification status on the lead record, is available from the starter plan rather than reserved for a higher tier. As with SMS notifications elsewhere in VisaBOS, you will need your own connected SMS gateway account (and, for email OTPs, your connected email sending setup) to actually deliver the codes — VisaBOS does not supply that connectivity itself. VisaBOS offers a 14-day free trial with full access to every module, no credit card required, and pricing starts at ₹5,000 per month, billed in INR.
