What It Is

What does data-deletion request software actually solve?

A client can ask a visa consultancy to delete their personal data at any point — during an active case, after it closes, or years later when they no longer need the consultancy's services. Without a structured place to capture that request, it typically lands in whichever inbox or phone happened to receive it, and from there its fate depends entirely on one person remembering to act, and remembering to tell anyone else it happened. VisaBOS gives every deletion request a home on the client's record: logged the day it arrives, moved through defined stages — Received, Under Review, Actioned, Confirmed — with each stage change timestamped and attributed to whoever made it, and a notes field that records exactly what was deleted, what (if anything) was retained, and why. To be direct about scope: this is a record-keeping and workflow tool, not a legal determination engine. It does not decide on your behalf whether a specific request must be honored in full, and it cannot reach into other systems your consultancy uses outside VisaBOS. What it gives you is a consistent, auditable place to log every request and show, clearly and with timestamps, what your team actually did about it. Our blog post on DPDP Act compliance for visa consultants covers the broader landscape at a general level — this page is the workflow tool that sits alongside it, not a replacement for advice from a qualified compliance professional.

Sound Familiar?

Why do deletion requests fall through the cracks?

A request buried in one inbox, no way to show it was handled, and nuanced partial outcomes that live only in someone's memory.

📧

A Deletion Request Arrives by Email and Lives Only in One Inbox

A client asks for their data to be deleted, the message lands in whichever counsellor happened to be handling their case, and unless that counsellor personally follows through and tells someone, the request has no visibility to the rest of the team, no owner if that counsellor is on leave, and no record that it was ever received at all.

No Way to Show a Request Was Actually Handled

If a client later asks whether their request was actioned — or if the consultancy simply wants to confirm it internally — there is often nothing to point to beyond someone's memory or a buried email thread. A request that was genuinely completed can look, from the outside, indistinguishable from one that was never actioned at all, because nothing timestamped the outcome.

🗂️

Partial Deletions Get Lost in the Nuance

A request is rarely a clean yes-or-no — some data may be retained for a defined period under other obligations while other data is deleted immediately. Without a structured place to record exactly what was deleted, what was retained, and why, that nuance tends to live only in one person's head, which becomes a real problem the moment that person is unavailable and someone else needs the answer.

Feature Deep Dive

What keeps every deletion request visible and accountable?

Six capabilities that turn a scattered inbox request into a tracked, timestamped workflow with a clear owner.

📥

One Place to Log Every Deletion Request

Logged against the client's record the moment it's received

  • Date received, channel, and requester captured at intake
  • Any specifics the client mentioned recorded alongside the request
  • Visible on the client's record, not buried in a single counsellor's inbox
  • No request depends on one person remembering to act on it
🔄

Stage-by-Stage Status Tracking

Received → Under Review → Actioned → Confirmed

  • Each stage change timestamped and attributed to whoever made it
  • A due-by expectation attached so a request doesn't sit indefinitely
  • Full history visible on the client's record at any time
  • Status changes are logged, not just the final outcome
🧩

Records Partial & Nuanced Outcomes

Not forced into an all-or-nothing status

  • Records what was deleted, what was retained, and the stated reason for any retention
  • Revisit date field for data retained under a temporary obligation
  • Notes field for your compliance advisor's determination on the specific request
  • Outcome reflects reality rather than a simplified yes/no flag
👤

Clear Ownership on Every Request

A named owner, not a shared inbox

  • Each request assigned to a specific counsellor or admin
  • Reassignable if the original owner is unavailable, with the handoff logged
  • Visible to branch managers so nothing depends on one person's memory
  • Consistent with how VisaBOS assigns ownership on cases and tasks elsewhere
🔗

Connects to the Case Audit Trail

The action itself becomes part of the case record

  • Once actioned, the deletion is logged as an audit-trail entry on the case
  • Distinct from consent record management, which tracks marketing opt-in/opt-out
  • Distinct from data export & backup, which is your own operational data protection
  • See the FAQ below for how these related features divide responsibility
📨

Client Confirmation, Logged

A record that the client was told the outcome

  • Confirmation sent to the client logged as part of the request timeline
  • Date and method of confirmation captured alongside the outcome
  • Closes the loop so a request doesn't just get actioned silently
  • Gives the consultancy something concrete to point to if asked later

This feature works alongside, not instead of, our case audit trail & compliance logging and consent record management features — three different record-keeping tools that each answer a different question about a client's data, kept deliberately separate rather than collapsed into one catch-all log.

Getting Started

How does a request move from received to confirmed?

Three stages, each visible and timestamped on the client's record.

01

A Request Comes In, You Log It

Whenever and however a client asks for their data to be deleted, a counsellor or admin logs it against their record in VisaBOS — date, channel, and any specifics the client raised — the same day it's received.

02

It Moves Through Review to a Decision

Your team, and where appropriate your compliance advisor, reviews what can be deleted and what may need to be retained under any applicable obligation, recording that determination directly on the request rather than in a separate conversation nobody else sees.

03

Actioned, Confirmed, and On Record

Once the applicable deletion is carried out, the request is marked Actioned with notes on the outcome, the client is confirmed, and the whole timestamped history sits on the client's record for as long as it's needed.

Frequently Asked Questions

Common questions from Indian visa consultancies about tracking client data-deletion requests.

What does data-deletion / right-to-erasure request software actually do?+
It gives a consultancy one structured place to log the moment a client asks for their personal data to be deleted, track that request through defined stages — received, under review, actioned, confirmed to the client — and keep a timestamped record of who handled it and when it was completed. Instead of a deletion request arriving by email or WhatsApp and living only in whoever received it's inbox, it becomes a trackable item with a due-by expectation and a visible status, the same way a document or a case milestone is tracked elsewhere in the platform.
Does VisaBOS tell me whether a specific deletion request is legally required, or handle the deletion itself automatically?+
No, and we want to be direct about that. VisaBOS is a record-keeping and workflow tool — it helps you log a request consistently, route it to the right person, and keep an auditable trail showing it was actioned and when. It is not a law firm, it does not provide legal advice, and it does not determine on its own whether a specific request must legally be honored, what exceptions might apply (for instance, records a consultancy may be required to retain for a period under other regulatory or contractual obligations), or automatically delete data across every system a consultancy uses outside VisaBOS. Whether and how a specific request should be actioned — and what, if anything, can lawfully be retained — is a determination for your consultancy and a qualified legal or compliance advisor to make, not something this software decides for you. Our blog post on DPDP Act compliance for visa consultants covers the broader landscape at a general level, but it is background reading, not a substitute for advice specific to your business.
How is this different from case audit trail & compliance logging?+
Our case audit trail and compliance logging feature records who accessed or changed what on a case — a running log of activity for security and dispute-resolution purposes. This feature is a different, more specific workflow: it tracks a client's own request to have their data deleted, from the moment that request is received through to its resolution. A case can have a full, healthy audit trail of normal activity and never once have a deletion request logged against it — the two features track entirely different kinds of events. Where they connect is that once a deletion request is actioned, that action itself becomes an entry in the case's audit trail, so there is a record of the record having been acted on.
How is this different from data export & backup?+
Our data export and backup feature is about your consultancy protecting and moving its own operational data — exporting case records for your own use, or maintaining backups so nothing is lost. It runs in the opposite direction from this feature: export and backup is about keeping data, this feature is about tracking a client's request to have specific personal data removed. The two are not in tension — a consultancy can maintain sound backup practices for its overall operations while still tracking and honoring an individual client's deletion request for their own personal data — but they solve unrelated problems and shouldn't be confused with each other.
How is this different from consent record management?+
Our consent record management feature tracks a client's opt-in or opt-out status for marketing communications across channels like WhatsApp, SMS, and email — it answers "can we message this person, and on which channel." This feature answers a completely different question: "has this person asked us to delete their personal data, and where does that request currently stand." A client can withdraw marketing consent without ever requesting data deletion, and a client can request full data deletion without that request having anything to do with marketing communications at all. Some consultancies choose to link the two on a client's record for visibility, since both are, broadly, client-data-rights events, but the underlying workflows and the questions they answer are distinct.
Who submits a data-deletion request, and how does it get logged in VisaBOS?+
A request can come from a client directly — through a written communication, a call, or a message to the consultancy — or occasionally through a third party acting on the client's behalf where that is applicable. However the request arrives, a counsellor or admin logs it against the client's record in VisaBOS as soon as it's received, capturing the date received, the channel it came through, and any specifics the client mentioned (for example, whether they are asking about a specific dataset or their full record). From that point, the request has a status, an owner, and a visible clock, rather than depending on someone remembering to follow up.
What stages does a deletion request move through?+
A request typically moves from Received, to Under Review — where a consultancy and, where appropriate, its compliance advisor assesses what can and cannot be actioned, given any retention obligations that may apply — to Actioned, once the applicable deletion has been carried out, to Confirmed, once the client has been notified the request has been handled. Each stage change is timestamped and attributed to whoever made it, so the full history of a request is visible on the client's record rather than scattered across emails and memory.
Can a deletion request be partially fulfilled, or does it have to be all-or-nothing?+
In practice, requests are often not simply granted in full or denied outright — a consultancy may be able to delete some categories of data immediately while needing to retain others for a defined period under separate regulatory, tax, or contractual obligations, and that determination is for your consultancy and its advisor to make, not something VisaBOS decides automatically. What VisaBOS supports is recording that nuance clearly: a request can be logged as partially actioned, with notes on what was deleted, what was retained, the reason given for any retention, and when the retained portion is expected to be revisited, so the record reflects the real outcome rather than a forced binary.
Does actioning a request in VisaBOS delete data from other systems my consultancy uses?+
No. VisaBOS tracks and, where the deletion applies to data held within VisaBOS itself, can action the deletion within the platform — but it has no ability to reach into other tools a consultancy might use outside VisaBOS, such as a separate accounting system, a marketing platform, printed files, or a personal device a staff member used. If a client's data exists in more than one place, actioning the request fully is a broader operational task than any single piece of software can complete on its own, and the request record in VisaBOS should note which systems were addressed as part of a complete response.
Is there a free trial for data-deletion request tracking?+
Yes — VisaBOS offers a 14-day free trial with full access to this feature alongside every other module, no credit card required. You can log a test deletion request against a sample client record, move it through its stages, and see the timestamped trail it produces, before deciding to subscribe. Pricing starts at ₹5,000 per month, billed in INR.
