What It Is

What does client payment plan and installment tracking software do for a visa consultancy?

Not every client pays a consultancy fee in one go. Many agree upfront to pay in two, three, or more scheduled installments, spread across the timeline of their case — and until that agreement is written down somewhere structured, the consultancy is relying on memory or a chat message to enforce it. VisaBOS lets a counsellor build that agreement as a real installment plan on the case itself: a defined number of installments, each with its own amount and due date, tracked separately as Due, Paid, or Overdue rather than folded into one undifferentiated balance. As each installment falls due, a Razorpay payment link goes out, the payment reconciles back to that specific installment automatically, and a GST invoice is generated for it. If an installment is missed, the case itself is flagged so the payment issue surfaces alongside filing progress instead of sitting invisible in a separate ledger. This is deliberately a scheduling and tracking tool, not a lending product — VisaBOS never advances money to a client or a consultancy; it only tracks the schedule your consultancy and your client have already agreed to. It works alongside our GST invoicing software, which handles the tax-compliant document for each installment collected, by focusing on the schedule and status tracking that sit above it.

Sound Familiar?

Why does an installment agreement fall apart in practice?

Without a structured plan attached to the case, a multi-stage payment agreement is only as reliable as whoever remembers to enforce it.

🧮

A Multi-Stage Fee Agreement Lives Only in a Client's Memory or a WhatsApp Message

A client agrees to pay the consultancy fee in three stages instead of one lump sum, and that agreement — the amounts, the dates — often exists nowhere but a verbal conversation, a WhatsApp thread, or a counsellor's personal notes. Nothing in the case record captures it as a structured schedule, so when the second installment is due, nobody has a clean reference for exactly how much was promised and when, and the consultancy is relying on memory to enforce terms it never wrote down anywhere durable.

🧩

One Case, Several Payments, and No Single View of What's Actually Been Collected

As installments trickle in over weeks or months, each payment gets recorded separately — a note here, a bank credit there, a Razorpay confirmation somewhere else — with nothing tying them back together as parts of one plan. Ask how much of a specific client's total fee has actually been collected so far, and the honest answer requires manually adding up scattered records rather than reading a single running total against the agreed schedule.

🚩

A Missed Installment Goes Unnoticed Until It's a Bigger Problem

When an installment due date passes without payment, nothing in most workflows surfaces that fact on its own — it sits quietly until someone happens to check, often not until the next installment is also due, or until the case has moved further along and the outstanding balance has grown. By the time anyone notices, the conversation with the client is more awkward than it needed to be, and the consultancy has been carrying an unflagged shortfall for longer than necessary.

The Installment Pipeline

From agreed schedule to a fully reconciled case.

Every installment moves through the same tracked stages, so nothing about a multi-payment agreement is left to memory.

Feature Deep Dive

Which modules build the installment picture?

Six purpose-built modules covering every angle of a multi-installment fee arrangement — from designing the schedule to flagging what falls through it.

🗓️

Installment Plan Builder

Design the schedule once, up front, per case

  • Split a case's total consultancy fee into any number of installments with a defined amount and due date each
  • Plan is attached directly to the case record, visible alongside filing progress rather than in a separate ledger
  • Supports equal or uneven installment amounts, matched to whatever schedule was actually agreed with the client
  • Plan can be created at case opening or added later once the fee and terms are finalised
📋

Per-Installment Status Tracking

Every installment tracked as its own line, not a single balance

  • Each installment shows its own status — Due, Paid, or Overdue — independent of the others in the plan
  • Running total of amount collected versus amount still outstanding across the whole plan, updated automatically
  • Case-level view shows the full installment breakdown at a glance alongside the case's filing stage
  • No manual tallying required to answer how much of a client's total fee has actually been collected
🔗

Razorpay Payment Links Per Installment

Each installment gets its own collectible link

  • A dedicated Razorpay payment link generated for each installment, sent to the client when it falls due
  • Client pays by UPI, net banking, or card, and the payment is matched back to the specific installment automatically
  • Partial payments toward an installment are recorded against the actual amount received, not force-matched to the scheduled figure
  • No manual reconciliation between a bank statement and the plan is required
🧾

Per-Installment GST Invoicing

A properly coded invoice for every stage of the plan

  • A GST-compliant invoice is generated for each installment as it is collected, using the consultancy's configured SAC codes
  • CGST/SGST/IGST split calculated per installment invoice the same way as a single-invoice case, described on our GST invoicing page
  • Every installment invoice is linked back to the plan and the case, giving a clean paper trail for month-end GST reporting
  • A client on a multi-installment plan receives one invoice per installment rather than a single invoice for the full fee
🚨

Missed-Installment Case Flag

Overdue installments surface where the case is managed

  • A case is automatically flagged the moment one of its installments passes its due date unpaid
  • The flag stays visible on the case pipeline until the overdue installment is paid, rescheduled, or otherwise resolved
  • Other installments in the same plan continue tracking independently and are not affected by one overdue line
  • Managers reviewing the case pipeline see payment issues alongside filing progress, in the same place
🔁

Plan Rescheduling

Adjust what's left when a client's circumstances change

  • Remaining, unpaid installments can be edited — due dates shifted, a balance split into more installments, or amounts revised
  • Installments already marked Paid stay untouched, preserving an accurate record of what was actually collected on the original terms
  • Rescheduling is a manual action taken by staff with the right permission, never automatic or client self-service
  • Full history of the original schedule and any changes to it remains attached to the case for later reference

Installment plans live on the same case record tracked in our visa consultant accounting software, so collected and outstanding amounts roll up automatically into your broader financial picture — with no separate spreadsheet to reconcile against GST invoicing or Razorpay settlements.

Getting Started

How quickly can a plan start tracking real payments?

There is no separate installment system to set up — a plan lives on the case you already manage in VisaBOS.

01

Build the Installment Plan on the Case

Once the consultancy fee and payment terms are agreed with the client, a counsellor sets up the plan on the case — how many installments, each amount, and each due date — capturing the agreement as a structured schedule instead of a verbal understanding.

02

Each Installment Is Collected and Reconciled as It Falls Due

A Razorpay payment link goes out for each installment as it comes due. Payment is matched back to that specific installment automatically, a GST invoice is generated for it, and the plan's running total updates — with any overdue installment flagging the case.

03

Track the Whole Plan Through to Completion

Through the life of the case, the plan shows exactly which installments are paid, which are still due, and which are overdue, right alongside the case's filing progress — with the option to reschedule remaining installments if the client's circumstances change.

Frequently Asked Questions

Common questions from Indian visa consultancy owners and accounts staff about scheduling and tracking multi-installment client payments.

What is client payment plan and installment tracking software?+
It is the part of VisaBOS that lets a consultancy split a case's total consultancy fee into a scheduled series of installments — agreed with the client up front — instead of collecting the full amount as one lump sum. When a case is opened, or once the fee has been finalised, a counsellor sets up a plan with a defined number of installments, each with its own amount and due date, for example three installments of a fixed sum spread across the filing timeline. From that point on, VisaBOS tracks every installment in that plan as its own line — due, paid, or overdue — rather than treating the fee as a single undifferentiated balance, so a manager can see exactly which portion of a client's total fee has actually been collected at any point in the case.
How is this different from GST invoicing?+
GST invoicing, covered on our GST invoicing software page, is about generating the tax-compliant document itself — the correct SAC code, the CGST/SGST/IGST split, and the line items that make an invoice valid under GST rules. This page is about what happens before an invoice is even raised: designing the multi-installment schedule that determines how many invoices there will be, for how much, and when. In practice the two work together — once a plan is set up here, VisaBOS generates a separate GST-compliant invoice for each installment as it falls due and is collected, so a plan with three installments produces three properly coded invoices over the life of the case rather than one invoice for the full fee.
How is this different from invoice payment reminder automation?+
Invoice payment reminder automation, covered on our payment reminder page, takes over after a single invoice has already been raised and sent — it chases that one invoice until it is paid, using configurable reminders and an overdue aging view. This page sits a step earlier and covers more ground: it is about designing the overall multi-installment schedule for a case in the first place, tracking each individual installment's own due/paid/overdue status as a set rather than a single balance, and flagging the case itself when an installment is missed. The two are complementary — once an individual installment falls due, the reminder automation on that specific installment's invoice can still run to chase it, but the schedule, the per-installment breakdown, and the case-level missed-installment flag are unique to this feature.
Does VisaBOS lend money to clients or offer financing for consultancy fees?+
No. VisaBOS is case management software, not a lender, a financing provider, or a payment processor in its own right — it does not sanction credit, charge interest, or extend any loan to a client, and it has no lending or buy-now-pay-later partnerships to disclose. What it does is let your consultancy define its own installment schedule for a fee your client has already agreed to pay in stages, and then track that schedule against actual payments collected through your existing Razorpay account. Any terms of the arrangement — the number of installments, their amounts, whether a late installment carries a consequence — are set entirely by your consultancy and your client; VisaBOS simply records and tracks what you have already agreed.
How does VisaBOS reconcile partial payments against a plan?+
Each installment in a plan is linked to its own Razorpay payment link. When a client pays an installment, VisaBOS matches that payment against the specific installment it was collected for, marks that installment Paid, and updates the case's running total of amount collected versus amount still outstanding across the whole plan. If a client pays an amount that does not exactly match the scheduled installment — a partial payment toward it, or an overpayment — VisaBOS records the actual amount received against that installment and keeps the shortfall or surplus visible rather than silently marking the installment as fully settled, so accounts staff always see the true collected total, not just how many installments have technically closed.
What happens when a client misses an installment due date?+
When an installment passes its due date without a matching payment recorded, VisaBOS marks that specific installment Overdue and raises a flag on the case itself, so a manager reviewing the pipeline sees at a glance that this case has a payment issue alongside its filing progress — rather than the missed installment sitting invisible in a separate finance system. The rest of the plan's installments are unaffected and continue to track on their own schedule. The case-level flag stays until the overdue installment is paid, rescheduled, or otherwise resolved by the consultancy, so it cannot silently disappear from view over time.
Can an installment plan be rescheduled after it has already started?+
Yes. If a client's circumstances change — they need more time before the next installment, or the consultancy agrees to restructure the remaining amounts — a counsellor with the right permission can edit the remaining, unpaid installments in the plan: adjusting a due date, splitting a remaining balance into more installments, or changing an amount going forward. Installments already marked Paid are not altered, since they represent money already collected and invoiced, so a rescheduled plan always reflects an accurate history of what was actually paid on the original schedule alongside what remains on the revised one.
Does every installment get its own GST invoice?+
Yes. As each installment is collected, VisaBOS generates a GST-compliant invoice for that specific installment amount, using the same SAC coding and CGST/SGST/IGST logic described on our GST invoicing page. This means a client on a three-installment plan receives three separate, correctly coded invoices over the life of the case rather than one invoice covering the full fee, and your accounts team has a clean, per-installment paper trail to hand to your CA at return-filing time — each invoice traceable back to the specific installment and plan it belongs to.
Is installment plan tracking available in the free trial?+
Yes — VisaBOS offers a 14-day free trial with full access to installment plan creation, per-installment status tracking, Razorpay reconciliation, and missed-installment flagging, with no credit card required to start. You can set up a real multi-installment plan on a test case, generate a Razorpay payment link for an installment, and see the plan update as payments come in, all before paying anything. Pricing starts at ₹5,000 per month, billed in INR.
Can multi-branch consultancies track installment plans across every branch?+
Yes. VisaBOS supports unlimited branches, and installment plans are scoped to the case and branch they belong to. A branch manager sees the plans and payment status for cases at their own location, while an owner overseeing multiple offices can view outstanding installment balances consolidated across every branch — useful for spotting whether one location is consistently carrying more overdue installments than the others. This pairs with our visa consultant accounting software for a broader financial view across the consultancy.
