What does review request automation actually send?

Review request automation is a single, narrow mechanic: when a case is marked closed or successful inside VisaBOS, the system automatically sends that client an outbound prompt — a short, configurable message with a link — asking them to leave a review on an external platform if they choose to. That is the entire feature. It does not compute a rating, does not track how many clients actually respond, and does not surface any resulting review count or score anywhere on this site or inside VisaBOS. The trigger is a case status change your consultancy configures, the message and timing are yours to write and adjust, and an optional single follow-up reminder can be enabled for clients who haven't responded yet. Every request's sent status is logged against its case, so an owner can confirm the automation actually fired — but what a client does after receiving the prompt is entirely between that client and whichever external platform the link points to. It is worth being precise about what this is not: it is not our client feedback and service rating software, which collects a rating and comment from a client for your own internal use inside VisaBOS. This feature does the opposite — it prompts a client to speak externally, and VisaBOS never reads back what, if anything, they end up posting there.

How is this different from the client feedback and service rating feature?+
They solve two different problems and point in two different directions. Our client feedback and service rating software is inward-facing — it collects a rating and comment from a client, stored inside your own VisaBOS account, for your own internal quality tracking per counsellor and branch. Review request automation is outward-facing — it sends a prompt asking a client to post a review on an external platform outside VisaBOS entirely. VisaBOS does not read, store, or aggregate whatever the client eventually posts externally; once the outbound prompt is sent and its delivery status is logged, the client's external review lives on that external platform, not inside VisaBOS. A consultancy can use either feature on its own, or both side by side, since one is about hearing from clients directly and the other is about prompting clients to speak publicly if they wish to.
Does this feature fabricate, guarantee, or track any review outcome?+
No, on all three counts. Review request automation only automates sending the outbound prompt — it does not fabricate a review, does not guarantee that a client will leave one, and does not promise any particular response. Whether a client clicks the link, what they write if they do, and where else they might mention their experience is entirely outside VisaBOS's control and outside this feature's scope. VisaBOS does not compute, display, or claim any review count, star rating, or satisfaction score anywhere on this site or inside the product as a result of this feature, and it never will.
Can I customize the request message and when it is sent?+
Yes. The wording of the outbound prompt is configurable by your consultancy, not fixed by VisaBOS — you write the message a client actually sees. Timing is configurable too: a request can be set to go out immediately when a case reaches the trigger status, or delayed by a chosen number of days so it lands after a client has had a little time to settle into their outcome rather than the moment their case file closes. Different message wording can also be configured per case type or per branch if a consultancy wants the tone to differ, for example, between a study visa outcome and a work permit outcome.
What happens if a client doesn't respond to the first request?+
A consultancy can optionally enable a single follow-up reminder, sent a configurable number of days after the original prompt, for clients who have not yet clicked through. The follow-up is optional and off by default — a consultancy that would rather send one request and leave it at that can do so. Whether a follow-up reminder actually results in a response remains entirely up to the client; VisaBOS does not track or infer anything about why a client did or didn't respond, and does not send more than the configured number of reminders regardless of outcome.
Which review platform does the request link point to?+
The link inside the outbound prompt can be pointed at whichever external review destination a consultancy configures — commonly a Google review link, since that tends to be the platform prospective clients check most often, though a consultancy is free to point it elsewhere. VisaBOS does not read, monitor, or pull data back from that external platform; the link simply takes a client to it, and what happens on that platform after that point is between the client and the platform itself.
Does this respect client consent and opt-out?+
Yes. A client can opt out of receiving review-request prompts, and once opted out, VisaBOS stops sending them to that client, including any configured follow-up reminder. Consultancies configuring this feature should apply it in line with the same communication-consent practices they already use for other automated client messaging, such as our WhatsApp broadcast opt-in and compliance handling. Review request automation does not attempt to compel a response and does not resend beyond whatever reminder count a consultancy has configured.
Can I see whether a review request was actually sent for a given case?+
Yes. Each case shows the sent status of its review-request prompt — whether it was sent, when, and whether a configured follow-up reminder went out — so a counsellor or owner can check at a glance whether the automation actually fired for that case, rather than wondering. That sent-status log tracks delivery of the request itself; it does not track or record whether the client went on to post anything externally, since VisaBOS has no visibility into what happens on the external platform after the link is clicked.
